Application Process & Screening Criteria
Thank you for your interest in applying to lease a home managed by MADDOX & ASSOCIATES REALTY. We are committed to Equal Housing Opportunity and we fully comply with the Federal Fair Housing Act. In order to help you in making your decision, we have listed below the criteria for qualifying as a resident with us.
APPLICATION FEE DISCLOSURE:
The application fee of $75 (per applicant) will be charged and processed automatically. Please note, if your application is not processed for any reason, the application fee will be refunded MINUS the $10.00 processing fee per applicant.
APPLICATION PROCESS
- All applications must be filled out completely, dated & signed and copy of driver’s license w/ proof of income attached (3 months of Pay Stubs & last 2 years tax returns if self employed) Applications will not be accepted without these documents. Omitted, inaccurate or incomplete information will delay processing and may result in denial. All occupants over the age of 18yrs must submit an application.
- A non-refundable application fee of $75.00 per person is payable to Maddox & Associates Realty for processing and reviewing each application at the time of submittal. Application fee will be paid online at the time of submission.
- Application process time is between 2-3 days, Monday-Friday.
- The maximum amount of time a property will be held without rent is 7 days from date of application approval with security deposit and signed lease agreement completed.
- Each applicant must qualify individually. Roommates require owner approval. Contact office before applying. If approved, an increased security deposit may be required.
- Applications are processed in the order in which received and will not be processed without application fee.
- Security Deposits (equal to 1 month’s rent) are collected once application is approved and accompanies lease agreement signing. The lease agreement & security deposit must be signed & received within 2 days of approval, your application will be withdrawn & forfeited.
- We do NOT accept co-signers or guarantors or smokers.
APPLICANT SCREENING & VERIFICATION of INCOME
- Prospective tenants are screened with regards to employment, sufficient income (approx.3x monthly rent), proof of income sustained for a minimum of 1 year employment and debt to income ratio. Child support, spousal support or overtime pay is not acceptable income.
- If self-employed, must provide verification with CPA prepared financial statement or last two years tax returns & last 2 months bank statements.
- Income must be verifiable through pay stubs, tax records.
- Must be employed at same company for minimum 1 year.
CRIMINAL BACKGROUND CHECK
- Inability to obtain a complete criminal background check, any felony or serious misdemeanor charge(s) and/or convictions could be ground for denial of an application. We do NOT rent to convicted sex offenders or any required to register as a sex offender. Criminal conviction and/or charge(s) history committed by any applicant or by other occupants (including children) who plan to live on residence could be grounds for denial.
RENTAL CRITERIA FOR PETS
- Pets on case by case basis. Contact office for approval. If approved $400 per pet deposit required (non-refundable)
- No cats permitted.
- No aggressive breed dogs permitted. Dogs will be rejected if they are full breed or appear to be : PIT BULL, BULL DOG BREEDS,STAFFORDSHIRE TERRIERS,DOBERMAN PINCHER, ROTTWEILER, AKITA, CHOW-CHOW, TOSA INU, PRESA CANARIO, DOGO ANGENTINO, BAN DOG, HUSKY, AND OF THE RUSSIAN SHEPHARDS, KERRY BLUE TERRIERS, CANE CORSO, MASTIFFS AND ANY BULL TERRIER. CALL OFFICE BEFORE APPLYING TO GET PET APPROVAL.
- Pet policies are strictly enforced and any breach will be grounds for termination of lease agreement.
- Current picture of the pet must be provided at the time the application is submitted with Vaccination Record
- Dog Liability Insurance Coverage may be required for dogs and list us as an Additional Insured on their dog liability policy.
- Service Animals: Documentation from a physician, psychiatrist, social worker or other health professional is required. Documentation must establish an individual has a disability (specifics NOT needed) and the animal will provide disability-related assistance. Service animals, w/ proper documentation, are exempt from certain requirements.HUD states: certifications, registrations, and other documentation purchased through these websites, may not contain reliable information and are insufficient to establish an individual’s disability-related need for an assistance animal. Under the new law, a person commits an offense if intentionally or knowingly representing that an animal is an assistance animal or service animal when the animal is not specially trained or equipped to help a person with a disability. An offense is a misdemeanor punishable by a fine of not more than $1,000 (previously $300) and 30 hours of community service.
- A therapy dog is a canine trained to provide affection and comfort to people in hospitals, retirement homes, nursing homes, schools, hospices, disaster areas, and to people with autism. Therapy dogs are usually not assistance or service dogs, but they can be one or both with some organizations. Dogs whose sole function is to provide comfort or emotional support (ESA) do not qualify as service animals under the ADA and will be required to pay a pet deposit.
RENTAL HISTORY
- Rental History of minimum 1 year must be verified from unbiased sources. Family and/or friends are not acceptable references.
- Eviction records older than 8 years and resulting in a judgment that is not being appealed,will be considered.
- Relatives do not qualify as unbiased sources. If you have owned your home the last 2-5 years, you will need to provide mortgage company references and/or proof of sale.
- NO SMOKING: Smoking is NOT permitted inside any home or garage and reason for denial.
- Proof of Rental Payment History (12 months) from current and previous landlord (can be a Screenshot, Bank Statement, Statement from Landlord, Receipts - some form of record showing the dates/amount when rental payments were made over a 12 month period from each.)
DISABLED ACCESSIBILITY
If you have disabled accessibility concerns, please submit them in writing to the Property Manager. We must get the Owner’s approval to allow the existing premises to be modified. All modifications are at the expense of the disabled person. The disabled person agrees to restore the premises at their own expense to the pre-modification condition, provided the modification would affect the use and enjoyment of the premise for future residents.
- Written proposals detailing the extent of the work to be done
- Written assurances that the work is to be performed by a licensed/bonded contractor
- Written approval from the landlord before any modifications are made
- Appropriate building permits and required licenses made available for the landlords inspection
- A restoration deposit may be required per Fair Housing guidelines
Applicant(s) may be denied occupancy for the following reasons:
- Falsification/misleading information on application, incomplete application, insufficient income or cannot show proof of income (ie:last 3 mths pay stubs/ 2 years tax returns),
- Poor credit history, Do not meet minimum 1 year of good standing rental history, Do not meet minimum 1 year of employment with 3x sufficient income,Negative rental history from previous/current Landlord, Cannot verify rental history, Non-payment of rent and/or frequent late payments, Eviction (within last 8 years), Broken lease or debt owed to a previous and/or current landlord/lender, if you received a current notice to vacate, are currently obligated to another lease term
- Current or previous foreclosure, short sale or bankruptcy within 8 years.
- Pet is aggressive breed
- Current Smoker is reason for denial
- If any landlord(s) are un-willing to rent to you again for any reason.
- Criminal conviction and/or charge(s) history committed by any applicant or by other occupants (including children) who plan to live on residence will be considered by nature and severity of crime & amount of time passed since criminal conviction-owner must approve. Any felonies or serious misdemeanor charges and/or convictions within last 8 years or felons who have been convicted of manufacturing or distributing a controlled substance will be denied.
- If you have allowed person(s) not on the lease to reside on the premises.
- Cannot provide documentation and/or evidence on service animal.
- If you have allowed unauthorized pets on the property.
- If we are unable to verify your information, we must deny the application.
- If misrepresentations are found after the lease agreement is signed, the lease agreement will be terminated and your security deposit will be forfeited.
If you do not meet the selection criteria, or if provide inaccurate or incomplete information, your application may be rejected and your application fee will NOT be refunded. I HAVE READ AND UNDERSTAND THE INFORMATION:
APPLICANT HAS SEEN THE PROPERTY OR ACKNOWLEDGES SIGHT-UNSEEN AND ACCEPTS PROPERTY AS-IS.
THE FOLLOWING IS REQUIRED:
- A valid form of ID (ie: driver's license)
- Proof of income (ie: W2/1099/Last 2 years tax returns/CPA financial statement/ pay stub-last 3 mths)
- Picture of pet & Vaccination Record
- Service Animal documentation from a physician, psychiatrist, social worker or other health professional is required for service animal. Dogs whose sole function is to provide comfort or emotional support (ESA) do not qualify as service animals under the ADA and may not be accepted or pet deposit will be required.
- Proof of Rental/Mortgage Payment History (12 months) from current and previous landlord (within last 3 years. Proof can be a Screenshot, Bank Statement, Statement from Landlord, Receipts - some form of record showing the dates/amount when rental payments were made over a 12 month period from each.)
